Wedding Coordination Package Details

Until now you must have planned and selected the best vendors as per you and your family’s wishes to create the best day of your lives that you two have been dreaming together. Although everything is planned and organized, does everything still messed up? We at Akwel Events are there to help you to bring your dream into a reality by attending to every detail you ever dreamt of. All you have to do is to leave the wedding day coordination to us and enjoy the day with your friends and family to the fullest while we take care of the rest.

This whole process will be started one month prior to the wedding. Wedding day Coordination Process includes following activities.

• Complimentary consultation prior to booking us.
• Discuss with the couple and both parents about how they wish the wedding / homecoming to flow.
• Preparation of a Wedding/Homecoming Itinerary (This includes 1-2 meetings with the Couple/Parents).
• Drafting of the agenda and circulating it with all the vendors.
• Contract review of the vendors. Check with vendors prior to the ceremony to confirm the arrangements for Wedding/homecoming day.
• Prior site visit to the venue to review layout, floor plan, décor and other recommendations. (If require can meet with florist, Marquee and lighting vendors in the location)
• Coordinate Guest List and Table allocation with the hotel.
• Coordination of Bride/Groom and Retinue Preparations
• Attending Overseeing and Directing the Ceremony and reception.
• Greet Vendors and Receiving the deliveries.
• Make sure the Decorations are done as per the client’s requirements (Colors, Flowers, Arrangement).
• Set up of special personal event décor items including favors, placement cards, placing menus etc.
• Making sure the Ceremony (Church/Poruwa) and reception area is set up as pre planned according to client’s requests. E. g.: Band is set up, Wedding Cake, Table numbers, Centerpieces, Candles are Lightened etc…
• Coordinate the photographer to take the pictures Couple wants e.g.: First Look, Wedding Cards, Ring Picture also making sure family members/Guests are available for the pictures.
• Arrange Grand Entrance –Timing is perfect, both parties are with the bride and groom, Brides Veil taken by the Bridesmaids, Dancers are at the venue on time etc… (This includes for both Church and Poruwa)
• Following the Wedding/Homecoming day Itinerary throughout the function to ensure the event runs on schedule and ensure agenda is followed as planned.
• Assistance with the items on poruwa / church ceremony (Gift for parents, Jewelry, etc.)
• Providing reminders to the important parties based on the function. Poruwa Function – Ashtaka, Registrar, witnesses, Church Function – Father of the Church/Witnesses.
• Coordinate with the venue to ensure a smooth transition between ceremony & reception.
• Follow up of Entertainment Acts–First Dance, Group Dance, Dance Items etc…
• Coordinate the car decorations and the arrival of the car if the car is being rented.
• Collection of thanking cards and distributing them.
• Coordinate the collection of gifts received at the wedding/Homecoming to be delivered to a pre-arranged place.
• Coordinate with vendors that their items are removed from the venue in a timely manner.
• Provide a hassle-free day for the bride/groom and for the Retinue.
• Note: Facilities that will not be provided under day coordination will be as follows: Ushering of the guests (Can be done at an additional charge), Coordination of Serving of the Liquor (Can be done at an additional charge) and Tracking of RSVP’s (Can be done at an additional charge)

We will be not covering any other aspect which is not mentioned in the package/contract and we do strictly adhere to that. Also this package does not include the providing of any products. This package is a service only package and any other item needed will be quoted and charged for separately.

Price: 45,000 LKR (Discounted Price)

Above prices are only for Colombo city limits and if the location is out of Colombo, transport will be added to the quoted price. We Expect 25 % from total amount as an advance from the total amount to be paid on confirmation. Advance payment is non-refundable under any circumstances.
